Privacy Policy

PREIC Apartments is operated by PREIC. This policy explains what personal information we collect through this website, why we collect it, who we share it with, and how you can see or correct it. We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and the substantially similar provincial privacy laws that apply where our buildings are located.
What we collect, and when
We only collect what you type into one of our forms. There is no account to create, and nothing is required to browse listings.
Rental enquiries. Your name, email address, phone number, desired move-in date, your message, and the building you asked about.
Rental applications. Your name, email address, phone number, current address, desired move-in date, number of occupants, whether you have pets, whether you need parking, your employment status, employer, job title, how long you have been employed, your monthly income, your current landlord’s name and phone number, a reference’s name and phone number, and anything you add in the notes field.
Property-owner enquiries. Your name, company, phone number, email address, property type, number of units, location, the service you are asking about, and your message.
What we never ask for on this website. We do not ask for your Social Insurance Number, date of birth, banking details, or a copy of any identity document through this site. Please do not send them to us through these forms.
Why we collect it
Enquiry details are used to answer you: confirming availability, arranging a viewing, and following up about the building you asked about. Application details are used to assess your application for a specific home — verifying what you have told us, contacting your landlord and references, and deciding whether to offer you a suite. Owner enquiries are used to respond about property-management services. We do not use any of it for anything else, and we do not sell personal information to anyone.
Consent
Submitting a form is your consent to be contacted about that request. When you submit a rental application you also expressly consent, by ticking the box on that form, to us contacting your landlord and references and verifying the information you gave us, for the purpose of assessing your application.
If a credit check or background check is needed to complete your application, we will ask for your consent separately and specifically at that point. Ticking the box on the online application is not consent to a credit check.
You can withdraw your consent at any time by emailing rent@preicapartments.com. Withdrawing consent while an application is in progress may mean we cannot continue assessing it.
Who we share it with
Your information is seen by PREIC staff who need it to do their job — the leasing team and the manager for the building you are interested in. Beyond that, it is shared only with the service providers that run this website on our behalf:
- Supabase — the database and file storage holding form submissions.
- Vercel — the platform that hosts and serves the website.
- Resend — the service that delivers our notification and confirmation emails.
These providers process information on our instructions only. Their servers may be located outside Canada, which means information can be subject to the laws of the country where it is stored, including lawful access by that country’s authorities.
We may also disclose personal information where the law requires it, or where it is necessary to establish or defend a legal claim.
How long we keep it
Enquiries are kept while we are helping you and for up to two years afterwards, so we can pick up where we left off if you come back to us. Applications are kept for up to two years after a decision, whether or not it was successful. If you are approved and become a resident, your application becomes part of your tenancy file and is kept for as long as the applicable tenancy and tax legislation requires. When information is no longer needed, it is deleted.
How we protect it
The site runs over an encrypted connection. Form submissions are stored in a database that is closed to the public — nothing you submit can be read by other visitors to this website. Access to the leasing panel is limited to named PREIC staff accounts, and each person sees only what their role requires. The confirmation emails we send you deliberately do not repeat your income, landlord, or reference details.
Cookies and tracking
This website does not use advertising cookies, tracking pixels, or third-party analytics. We do not track you across other websites. A cookie is set only when a PREIC staff member signs in to the leasing panel, and it exists to keep them signed in.
Two features load content from third parties: building maps use map tiles from OpenStreetMap, and video tours are embedded using YouTube’s privacy-enhanced player, which does not set viewing cookies until you press play. Both receive your IP address in order to deliver that content, and both are governed by their own privacy policies. Our resident portal links take you to Buildium and RentCafé, which are separate services with their own policies.
Seeing or correcting your information
You can ask what personal information we hold about you, ask for a copy of it, ask us to correct anything that is wrong, or ask us to delete it. Email rent@preicapartments.com and we will respond within 30 days, at no charge. We may need to verify who you are before releasing information, and in limited cases the law allows us to withhold certain material — for example, information that would reveal someone else’s personal information.
Questions or complaints
If you have a question about this policy, or you believe we have mishandled your information, write to rent@preicapartments.com or call 1 (888) 639-7803. We take every complaint seriously and will investigate it.
If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada, or the privacy commissioner for the province the building is in.
Changes to this policy
If we change how we handle personal information, we will update this page and change the date at the top. Material changes will be posted here before they take effect.
